Production & Operations Coordinator (Part-Time)
Reports to: Tom Oliver – CEO / Artistic Director
Location: Brisbane-based preferred (offices between Fortitude Valley & Wynnum). Some remote flexibility possible for the right applicant.
Type: Fixed-term part-time employee (2–3 days per week) with full-time during peak festival time.
Start Date: Immediate
Contract Length: 6 months, with potential to extend
Salary: $60,000 - $70,000 FTE pro rata (plus superannuation)

About the role:
Tom Oliver Productions is seeking a proactive and detail-driven Production & Operations Coordinator to support the delivery of our growing suite of creative projects. This hybrid role combines arts administration, production coordination, executive support, and general operations — ideal for someone who thrives in a fast-paced, collaborative environment.
The role supports the day-to-day delivery of Wynnum Fringe, The Augathella Spiegeltent, and various live productions, working closely with the CEO/Artistic Director and wider team.
Key Responsibilities:
Production Coordination:
• Liaise with artists, crew, venues, and suppliers
• Assist with production schedules, rehearsal logistics, run sheets and call times
• Coordinate artist hospitality, travel bookings and itineraries
Executive Support:
• Assist with CEO’s calendar, inbox, meetings and follow-ups
• Prepare documents, agendas, reports and assist with grant submission and acquittal
• Support stakeholder communication and relationship management
Budget & Logistics Management:
• Book travel, accommodation and transport for artists and team
• Track budgets, manage project expense spreadsheets and petty cash
• Process invoices and assist the bookkeeper with reconciliations
Operations & Office Management:
• Maintain digital filing systems, shared drives and internal processes
• Order supplies, manage subscriptions and general admin workflows
• Support onboarding of contractors, freelancers and casual staff
Skills & Experience:
• Experience in arts administration, live events or creative project coordination
• Excellent organisational and time management skills
• Strong written and verbal communication
• Ability to manage multiple timelines and competing priorities
• Comfortable liaising with artists, partners and crew
• Familiarity with cloud-based tools (Google Drive, Xero, Asana or similar)
• Budget tracking and travel coordination experience desirable
Salary & Conditions:
• Salary range: $60,000 - $70,000 FTE pro rata (plus superannuation)
• Part-time: 2–3 days per week (0.4–0.6 FTE) with full-time hours during peak festival time.
• Initial 6-month contract, with potential for extension or growth
• Flexible work arrangements available
